We execute targeted promotional campaigns that not only drive attendance but continue to build and maintain ongoing attendee relations, such as magazines, newsletters, brochures, press releases, advertisements, feature articles, direct mail, email and website communications.
3. Registration Processing. Custom-built on-line registration forms provide simple registration for attendees while delivering real time reports for administrators. On-site registration includes professional staffing and meeting specific equipment such as computers, credit card machines, badge printers, etc.
4. Contract Negotiation. Considerable effort goes into negotiating hotel and vendor contracts. To provide the best value and protection possible, standardized electronically templated contracts are developed in partnership with most hotel chains.

6. Speaker Selection and Management. We routinely secure speakers, negotiate their contracts and manage their participation in training, entertainment and keynote presentation.
7. Onsite Management/Logistics: VENU provides friendly and knowledgeable on-site personnel to guarantee that the on-site meeting experience is smooth and stress-free for our clients. We Locate, qualify and create RFPs for suppliers, schedule air and ground transportation, handle on-site function space assignments, room setup, A/V and photography requirements, monitoring of inventories, delivery of shipments, security arrangements, signage, traffic flow, destination management, monitor staff/attendee levels, speaker rehearsal, review supplier invoices for accuracy and much more.
8. Food and Beverage Selection: We work hard to get to know a group, so the food fits the occasion and meet within the budgets that have been established.
9. Exhibits Management: We handle everything from selling the exhibit space to coordinating all of the vendors necessary to stage a major exposition. Expositions provide the opportunity for attendees to see and learn their industry as well as networking. Expositions are structured to provide maximum traffic for the exhibitors and accessibility for attendees.
10. Post Event Analysis and Reports: Generate accurate accounting reports providing feedback on the programs that worked well and which did not, benchmark costs, evaluate ROI/ROO, and to archive the results for future reference. |
